Work permit services – current and future employees of the clients

To assist with work permit applications, we collect personal data directly from you or from your employer. The personal data can be provided to us through e-mail or through a shared document services platform. Personal data is provided to us when an e-mail is sent to us or when opening the document in the shared services platform.

Company establishment services – company officials

To assist with company establishment services, we collect personal data from the company officials of the clients. The personal data can be provided to us through e-mail or through publicly accessible sources such as the Swedish Company Register. Personal data is provided to us when an e-mail is sent to us or when information is collected from publicly accessible sources.

Contact persons clients and suppliers

GGL collects data for contact persons, cooperation partners, potential cooperation partners and potential clients.

GGL collects and processes personal data through e-mail or through publicly accessible sources such as the internet, social networks or commercial registers.

GGL may collect personal data for the purposes of entering into an agreement and/or to meet certain legal requirements.

What data about you do we process, and why?

In processing personal data, GGL abides by the principles of the GDPR and processes personal data only where there is a legal basis, such as a request for permission, a fulfilment of contract or for the purpose of the legitimate interests of GGL. We process data only where necessary, and we process no more data than needed.

GGL collects personal data about the employees such as:

  • name, address, email address, telephone number
  • date of birth and personal identity number
  • ID-card number
  • copies of identity documents (such as passport, national ID card, driver’s license)
  • union membership
  • health data

Company Establishment services – company officials 

GGL collects personal data about the company officials such as:

  • name, address, email address, telephone number
  • date of birth and personal identity number
  • ID-card number
  • copies of identity documents (such as passport, national ID card, driver’s license)

Contact persons client and supplier

  • name, address, email address, telephone number

Contact persons cooperation partners, potential cooperation partners and potential clients

Legal basis for data processing

The legal basis for personal data processing for the following categories is our legitimate interest to administer and provide our services:

  • Current and future employees of clients
  • Company officials of clients
  • Contact persons of clients and suppliers
  • Contact persons of cooperation partners, potential cooperation partners and potential clients

For contact persons of clients and suppliers, we may also process personal data in the course of our accounting activities. The legal basis for such processing is legal obligation.

Work permit services – current and future employees of our clients

We keep data until the employer is no longer a client or at an earlier stage when the personal information no longer needs to be stored.

Company Establishment services – company officials

We keep data until the employer is no longer a client or at an earlier stage when the personal information no longer needs to be stored.

Contact persons clients and suppliers

Personal data is deleted within one year from the termination of the client assignment or supplier engagement, as applicable. Accounting data is maintained and as required by accounting law.

Contact persons, cooperation partners, potential cooperation partners and potential clients

Personal data is deleted when no longer needed. Deletion is ensured through annual reviews of the processed data.

With whom do we share your data?

When required in the context of the services we provide, GGL may share the personal data with Swedish authorities such as the Migration Agency, the Swedish Company Registration Office and the Swedish Tax Agency.

Where do we process data?

GGL aims to process personal data within the EU/EEA. In certain situations, when for example information is shared with an IT provider operating outside the EU/EEA, personal data may be processed outside the EU/EEA. If and when data is processed outside the EU/EEA, GGL ensures that there is an adequate level of protection and that appropriate safeguards are put in place (for example through the use of the European Commission’s standard contractual clauses).

Your rights as a data subject

  • Right of access: You have the right to obtain information about the personal data we process about you, including the purpose of the processing and the legal basis for the processing.
  • Right to rectification: If you believe that we are processing inaccurate personal data about you, you can ask us to rectify it.
  • Right to restrict processing: You can request that we restrict the processing of your personal data. This may be relevant, for example, if we have inaccurate data about you and you do not want the processing to continue until we have corrected the data.
  • Right to erasure/right to be forgotten: You can request that we delete your personal data. While we will comply with such request to the extent required by applicable law, please note that despite your request, we may continue to process certain data (such as data that we need to retain to protect our legal interests or that we are required by law to retain).
  • Right to object: In the context of processing personal data based on legitimate interest, you have the right to object to the use of your personal data. If your privacy interests outweigh our interests in processing certain data, we will stop processing such data.
  • Right to data portability: You may also have the right to access the personal data you have provided to us in a structured, commonly accepted and machine-readable format, and the right to transmit the data to another controller.
